Privacy Policy

Proprietio is a product of Square Working LLC (“we”, “us”), a Wyoming limited liability company located at 680 S Cache Street, Jackson, WY 83001. This policy explains what data we collect, how we use it, and your rights.

1. Information we collect

From property managers (our customers)

• Account info: company name, owner name, email, password (hashed), phone
• Billing info: handled by Stripe — we never see or store your card number
• Property data you enter: addresses, units, leases, financials
• Usage data: pages visited, features used, error logs

From tenants (your customers)

• Name, email, phone, current address (provided during application)
• Payment data: handled by Stripe; we never see card or bank account numbers
• Lease, payment history, maintenance requests submitted

2. How we use it

• To provide the service (deliver the platform, process payments, send notifications)
• To improve the product (anonymized usage analytics)
• To communicate with you (transactional emails, occasional product updates)
• To comply with legal obligations (tax forms, subpoenas)

We do not sell your personal data. We do not train AI models on your private data.

3. Data sharing

We share data only with our subprocessors, all of whom are bound by data-processing agreements. The main ones:

• Stripe — payment processing
• Resend — transactional emails
• Render — application + database hosting
• Vercel — frontend hosting

4. AI assistant connector (Claude, ChatGPT)

If you connect Proprietio to an AI assistant such as Claude (Anthropic) or ChatGPT (OpenAI) through our connector:

• You start the connection, sign in to Proprietio and approve the access it asks for (for example, reading properties or creating work orders). It is limited to your organization and to the access you approved.
• When you ask the assistant a question, it requests from Proprietio the data it needs to answer, and we send that data to the assistant.
• The assistant is a service you chose and acts for you, not for us: it processes that data under its provider’s own terms and privacy policy. (Anthropic and OpenAI also appear on our subprocessor list, for separate features of Proprietio itself.)
• We log each request: your organization, the connection, the endpoint called, the result, the IP address and the time. The log does not contain the data returned.
• You can see and disconnect every connected app at any time in Proprietio, under Profile → Connected apps.

5. Data retention

While your subscription is active, we retain your data so the service works. After cancellation, data is retained for 90 days to allow recovery, then permanently deleted unless you ask sooner.

6. Security

Passwords are stored with bcrypt. Database connections use TLS. Payment data is tokenized via Stripe (PCI-compliant). Daily backups with point-in-time recovery. No security system is perfect — if we discover a breach affecting your data, we'll notify you within 72 hours.

7. Your rights

Depending on your jurisdiction (GDPR, CCPA, etc.), you have the right to:

• Access, correct, or delete your personal data
• Export your data in machine-readable form
• Object to certain processing
• Lodge a complaint with a data protection authority

8. Cookies and measurement tools

Inside the product (the logged-in app and the tenant, owner and vendor portals) we use only essential cookies (authentication, session).

On our public marketing site we also use third-party tools to measure which pages and campaigns bring visitors and which of them become customers:

• Google Analytics and Google Ads — visits and ad conversions
• LinkedIn Insight Tag — visits and ad conversions from LinkedIn
• G2 (G2.com, Inc.) — attribution between our G2 listing and our site: when you move between the two, G2 is told which page of our site you viewed. G2 and its Capterra / GetApp / Software Advice sites also report whether a visit led to a free-trial signup

These tools may set cookies, or recognize a browser from technical characteristics such as its IP address and browser details, which G2 hashes. We do not send them the content of your account, your tenants’ data or your financial data. To object, email privacy@proprietio.com; most browsers and ad blockers also stop these tools.

9. Changes to this policy

We'll notify you by email at least 30 days before any material change. The current version is always posted here.
