Migrating Your Property Management Software — A No-Drama Guide

A practical migration guide based on real switches. Average time: 30 minutes for a 50-unit portfolio.

Switching property management software sounds scary. Here's the honest reality, based on real customers who've done it.

Total time investment: 30-90 minutes

  • 5 min: signup + tour
  • 10 min: export CSVs from your current platform
  • 15 min: import to Proprietio
  • 30 min: connect Stripe + invite tenants
  • Optional 30 min: cleanup + retraining yourself

What you'll lose temporarily

  • Tenant auto-pay setups (they need to re-enable in their new portal — usually fine within 1 week)
  • Saved reports / dashboards (Proprietio has different built-ins, you adapt)
  • Vendor history beyond 12 months (we import the last year only via CSV)

What you won't lose

  • Any unit, tenant, lease, or financial record (everything imports cleanly)
  • Your Stripe Connect account (it stays — you just re-link it)
  • Your bank account (re-enter the routing/account numbers, 2 min)

The right way to switch (zero-downtime method)

  1. Sign up for Proprietio's 14-day trial
  2. Import all your data via CSV
  3. Configure Stripe Connect, but DON'T cancel your current platform yet
  4. Run both platforms in parallel for 30 days — collect rent on your current platform, observe Proprietio
  5. After 1 successful month-end on Proprietio, ask tenants to re-set up auto-pay
  6. Wait until next month's rent lands on Proprietio successfully
  7. Cancel your previous platform

This conservative path takes 60 days but eliminates risk. If you're brave (or have <10 units), you can switch in a single day.

Common gotchas

  • Owner statements have different formats across platforms — your owner clients might ask "what is this?" the first month. Send them a heads-up email.
  • 1099 generation: do your prior-year 1099s on your old platform before canceling, do current-year on Proprietio
  • Tax return prep: export your full transaction history from your previous platform as a backup
